Using it

Do I need to install anything?

No. Open it in a browser and start. If you want it to feel like an app, most browsers offer to install it — that adds an icon and lets it run offline, and it is the same thing either way.

Do I need an account?

Yes — Billkeep opens on a sign-in screen, the same as the Android app. Creating one takes a moment and the free tier needs no card. It is what lets your records exist in more than one place: a cleared browser or a new phone is otherwise the end of them.

The free calculators need no account at all.

Does it work with no connection?

Yes. After the first visit the app is cached, and your records were never on a server to begin with. You can write, finish and print an invoice on a train.

Can I put my logo on the invoice?

Yes — Settings, then your business details. It is scaled down and stored with your records, and appears at the top of every document.

Can I run two businesses?

Yes. They are two separate sets of books with nothing copied between them, and you switch in Settings. On Android that is an Unlimited-tier feature; in the browser nothing is gated.

How do I get a PDF?

Print the document and choose “Save as PDF”. The page has a print stylesheet, so what you get is the document and not the app around it. The Android app renders the PDF itself instead.

Money and payments

Does Billkeep take a percentage?

No, and it has no way to. There is no payment processor behind it. The link on your invoice is yours, the money goes straight to you, and Billkeep only writes down that you said it arrived.

What payment links can I use?

Any https:// address: a Stripe payment link, PayPal.me, a Wise link, a UPI link, your own checkout page. Bank details and instructions can go on as text instead, for anyone who pays by transfer.

Why is my link checked?

Because a payment link is the riskiest thing on the document — a customer taps it trusting that a person sent it. Only https:// is accepted, a bare domain is upgraded, and anything else is refused, both when saved and again before printing. A link that fails the check is printed as plain text rather than as a button.

Can it tell me when a customer pays?

No. There is no processor and no webhook, so it genuinely cannot see it. You mark it paid, in full or in part, and everything else follows from that.

Can it chase people for me?

On Android it writes the reminder and you press send. It never sends anything by itself, never claims the customer has not paid, and never threatens a consequence we cannot know applies.

Your records

Where exactly do they live?

In a database inside this browser that only this site can read, and in the Android app's private storage. A copy is also kept in your own Billkeep account — that is what puts the same books on both, and it is the only thing we hold.

Can I lose them?

Clearing your browser's site data empties this browser, and uninstalling the phone app empties the phone — but the copy in your account is what brings them back, and it needs nothing switched on. Take a backup file as well if the records matter, which they do: a file you hold is the one copy nobody can take away.

How do I move them to another device?

Sign in on the new one. That is the whole answer — your records are fetched before the app shows you anything, so it opens on your real books rather than an empty set. A backup file still works too, in both directions between phone and browser.

Does it merge two devices?

Yes, continuously, and it is safe for reasons built into the rest of the app rather than clever guessing. An issued invoice is frozen, so two devices can never hold different versions of one. Payments are separate rows, so two devices recording different ones merge instead of colliding. And nothing is erased, only marked deleted, so a record missing from one side means "not arrived yet" and never "deleted" — which is what stops a deletion coming back.

Is anything tracked?

No adverts, no analytics, no third-party pixels. The only outbound requests the app makes are signing in and the cloud copy, and both are things you switched on.

Tax and numbering

Does it know my country's tax rules?

No, and it says so on the screen. You enter the rates you use; it does the arithmetic exactly and keeps a frozen copy of the breakdown on every finished document. Which rate applies is a question for your authority or your accountant.

Can it do two taxes on one line?

Yes — a tax group applies several rates together, which covers CGST plus SGST, GST plus a provincial tax, and anything shaped like them. Compound tax, where one is charged on a total that already includes another, is a flag on the rate.

Can I enter prices with tax already included?

Yes, per rate. Net plus tax then equals the price charged exactly, rather than being a penny out.

Are invoice numbers gapless?

Yes. The number is allocated when you finish, never while drafting, so an abandoned draft never burns one. A document that has spent a number can be cancelled but not deleted, and unlocking one to correct it keeps its number and its original issue date.

What if I finish invoices on two devices?

The number is claimed against your account with a check-and-set, so two devices cannot take the same one. That is also why finishing a document needs a connection — drafting never does. Guessing a number offline while your records are shared is precisely how two invoices end up with the same one, and that is not fixable afterwards.

Can I change the numbering format?

Yes, per document type — a prefix and how many digits, so INV-2026-0042 or 2026/42 or whatever your accountant expects.

The books

Is Billkeep accounting software?

It keeps a real double-entry ledger and produces a profit and loss, a balance sheet, a trial balance, a cash movement report, an ageing report and a tax position. So: yes, underneath. What it is not is a filing service — it submits nothing to a tax authority — and it is not a replacement for an accountant. It is a good way to arrive at one prepared. How the books work.

I turned on Pro mode. Where did my old figures go?

Nowhere — they are all there. The books are kept in both modes, so switching to Pro reveals them rather than starting them. A profit and loss opened on the day you switch covers every invoice you have ever written. Switching back to Simple hides the screens and keeps the books.

Where is Simple and Pro mode?

Settings → How much of it you see. Simple shows invoices, money out, clients, bills and suppliers. Pro adds the six reports, the chart of accounts, the journal, bank and cash, purchase orders and exchange rates. It changes the sidebar and nothing else.

Do I have to learn bookkeeping to use it?

No, and that has not changed. The invoice editor still asks three questions and no screen you use daily mentions a debit. The books post themselves out of the documents you were writing anyway. You can go years without opening the journal.

I already have invoices in Billkeep. Do they get posted?

Yes, automatically. The next time you open the app everything you already had is brought into the books, so the reports do not start empty beside years of real documents. Nothing is posted twice.

Can I correct a journal entry?

You reverse it. Billkeep posts the mirror image, dated when you noticed, and both stay on the page. Nothing in the journal is edited or deleted — that is the difference between a set of books and a spreadsheet, and it is what makes them worth filing from.

Does it connect to my bank?

No. There is no open-banking feed and no screen-scraping, and Billkeep never asks for your bank login — there is nowhere to enter one. You square off your own statement by ticking what appears on it. Slower than a feed, and it means nobody else is holding the keys to your account.

Are the books on the Android app too?

Not yet. The journal and the financial statements are in the browser version today. Both share the same records and the same cloud copy, and the postings are derived from your documents — so a business run from the phone all week has a full set of books waiting the moment it is opened in a browser.

Plans

What is free?

Fifteen invoices a month, free forever, resetting on the 1st — not a trial that expires. Behind them is the whole product: clients, tax, payment links, payments, totals, backup and repeating invoices, plus three AI-drafted invoices a month. Documents carry a quiet “Made with Billkeep” line at the foot, and quotes and credit notes are the paid extras. Keeping your devices in step is free on every plan.

What do I lose if I stop paying?

The ability to write new invoices past the free cap, after a seven-day grace period. Nothing else. Everything you have already written stays open, printable and exportable.

Why is the browser version not charged for?

It cannot ask Google Play what you are subscribed to, and guessing would be worse than either answer. Rather than build a second payment system, it stays open. If that ever changes it will be said here first.

How do I cancel?

In Google Play, under subscriptions — the same place as every other Play subscription. Billkeep never holds your card details, so there is nothing to cancel on our side.

The Android app

Is it on Google Play?

Yes — Billkeep on Google Play. It is the same account as the browser version: sign in on the phone and your books are already there.

Is there an iPhone version?

Not currently. The browser version runs on an iPhone and can be added to the home screen, which covers most of it.

What does the phone do that the browser does not?

Photographing receipts, expenses, statements of account, reminders written for you, dictating an invoice, and rendering the PDF itself. Those are on the list for the browser except dictation, which needs a key that cannot safely live in a web page.

Still wondering something?

Ask. It is one address and a person reads it.
